Administrative Assistant - Charles Schwab (Texas)
Your Opportunity
The Administrative Assistant is responsible for providing administrative support to up to four Vice Presidents, who are members of the Financial Crimes Risk Management (FCRM) Senior Leadership Team.
FCRM is within Schwab’s Corporate Risk Management team. FCRM includes the company’s BSA/AML Program, Fraud Risk Management, Conduct Risk Management, Financial Crimes Modeling & prevention Strategies, FCRM Technology and Integration Strategy and the FCRM Shared Services team.

The ideal candidate will be proactive, exhibit high standards, have excellent communication skills, take initiative, and prioritize daily tasks. Key areas of responsibility for the Administrative Assistant include:
Calendar Management
+ Actively handle scheduling and calendar for Vice Presidents using Outlook; resolving issues in a timely manner
+ Lead and Coordinate logistics for meetings, including meals and snacks, as needed
+ Schedule and coordinate team and FCRM All Hands meetings
Travel & Expense Management
+ Book travel – flight/hotel/car – as needed for VPs work-related travel
+ Create travel itinerary – include dates/times/confirmation numbers/contact information
+ Follow-up with Travel vendor if there are any issues or travel changes
+ Assist with and submit expense reports in a timely manner
Reporting & Administrative Tasks
+ Prepare presentation materials utilizing Excel, Word, PowerPoint and Visio
+ Update and maintain FCRM organization charts
+ Assist with handling routing action items such as approvals/signatures, Purchase Orders, Invoices, etc.
+ Create UPS shipping labels
+ Oversee organization and ordering of office supplies
+ Other
What you have
+ 2 – 5 years executive/administrative support, including corporate travel experience
+ Strong PC skills including shown proficiency with Microsoft Office
+ Ability to maintain utmost confidentiality and use solid judgment regarding the handling of confidential information
+ Initiative and results-oriented; ability to deliver outstanding quality and timeliness, while working independently
+ Ability to prioritize, often working on a variety of projects simultaneously
+ Excellent verbal and written communications skills with all levels of the organization
+ Ability to develop and maintain strong partnerships and interpersonal business relationships
